A: This issue typically occurs due to Rocketlane's "out-of-office" (PTO) functionality when a project has restricted visibility. If a team member who is on PTO is mentioned in a task within such a project, their designated "stand-in" team member will be automatically added to the project. This is necessary for the stand-in to view the message and respond to the customer.
If multiple users are set to the same "stand-in" role (e.g., "Customer Success Manager"), all users holding that role might be added to the project when someone on PTO is mentioned. To prevent this, you can adjust your "stand-in" settings in the out-of-office configuration. While you can typically remove roles like "Customer Success Manager" as a stand-in, "Project Owner" usually remains as a default stand-in, which is safe as they are already part of the project and won't be re-added.
