Enhanced Time Tracking and Approval Experience in Rocketlane

Rocketlane now has a more intuitive, flexible, and way to track time directly within the context of each project through the new "Track Time" feature available at the project level. This enhancement simplifies timesheet tracking, editing, approval workflows, and bulk actions for project managers and approvers, so that they can manage hundreds of time entries in bulk.

Unlike the existing timesheet experience, which is primarily designed for submitting time at the end of each week, the new view is built for actively managing time entries throughout the project lifecycle. It allows project managers and approvers to take bulk actions such as approving or rejecting entries, moving time entries between projects, and organizing data by grouping team member wise and viewing time based on approval status. 

This new experience does not replace the existing timesheet interface but works as an additional way to view and manage time entries, focused around flexibility, efficiency, and control.


Time Entry as a Table

The core enhancement is the transformation of time entries into a unified table view. All entries are now exposed in a single, editable table format, making it easier for approvers to review, modify, or act on entries without navigating between multiple screens.

Where You’ll Find It:

  • Navigate to Projects: On clicking the Financials tab, you’ll see a new Tracked Time sub-tab that appears.

  • In case you don’t see it, you either don’t have appropriate permissions or the tab is hidden. If it is the latter, click on the tab on the right side of the screen and enable time tracking

Note: This is an additional way of looking at time entries and not a replacement to the pre existing method



The Financials Tab

Clicking the Financials tab reveals two sub-tabs: Dashboard and Tracked Time. The Dashboard displays all financial metrics related to the project, while the Tracked Time tab provides a detailed view of all time entries associated with the project.



Key Features

1. Table View of Time Entries

Each row in the table represents a single time entry, showing:

  • Project, task, team member

  • Hours tracked

  • Billable status

  • Category

  • Approval status

Each row in the table represents a single time entry, displaying details like the project, task, team member, hours tracked, billable status, category, and approval status. Previously, users were restricted to viewing and submitting time for just one week at a time, with limited visual flexibility.  This structure is designed to make it easier to view and manage time data in context.





Note: Cost rate and bill rate fields are visible only if you have the appropriate permissions

You can:

  • Directly edit fields such as work item, role, billable status, and notes

  • Approve or reject time entries in the table

  • Submit time entries that haven't been submitted yet.

  • Add, save and share custom views (e.g., filter for “Pending Approval” or “Billable only”)

  • Group time entries by their project, team member, role, task, status (ie, rejected or approved), etc. For example, a manager may want to view all entries for a specific task across different team members, or see a grouped summary of all rejected time entries to identify recurring issues.

  • Export a filtered list of time entries depending on what you see

2. Bulk Actions

From the table, approvers can:

  • Approve or reject time entries in bulk

  • Move entries to a different project (including mapping them to new tasks and roles)

  • Delete entries in bulk

3. Move Time Entries Between Projects

Use the Move Time Entries action to shift hours from one project to another. If the user is not a member of the target project, Rocketlane will invite them automatically. Examples of scenarios it can be  useful for Change orders, Administrative reclassification, Invoicing in separate projects

To move time entries:

  1. Select the entries you want to move.

  2. Click the  menu that appears and choose Move Time Entries.

  1. In the pop-up window, select the target project. You can only move time entries to projects you have permission to invite people into

  2. You can map time entries to go into work items (project, phase, task etc.,) in the destination project. Doesn’t have to be that you’re moving a time tracked on a task to a task. You can move any work into any work.

Note: any users and partners not in the destination project will be added to the project. Time entries will be moved along with their statuses

Note: you will not be able to move invoiced entries, you can move date and time locked entries. If you want to move the invoiced time entry, you’d have to void or delete the invoice 

4. Grouping and Filtering

The new view allows grouping by:

  • Project

  • Team member

  • Status

  • Role

  • Phase

  • Task

After grouping by one parameter, you can also sub-group by another parameter as well.

You can filter time entries based on simple filters like submission status, billability, or category. Advanced filters based on time entry fields and user fields can also be used.

For example: 


For grouped entries, you can also view summarised information at a row level. For example, for time entries inside a group you can view total tracked time, billable and non-billable split. 


Add Time as Project Owner

Under Time Tracking, click the Add Time button. Project owners/admins can log time for themselves, other users, and partner users. 

  1. Select the team member.

  2. Choose the task for which time is being tracked.

  3. Enter the date and number of hours worked.

  4. If the task is billable, check the Billable box.

  5. Select a category and add notes.

  6. Click Save to log the entry.






Submission & Approval Workflow Updates

Partial Submission and Approval

  • Submitters can only submit a week’s timesheet once they meet the configured minimum (e.g., 40 hours). However, approvers can override this limit and approve individual time entries even if the entire timesheet isn't submitted. Thereby approvers can submit time entries even if it's less than the required limit they've configured..

  • Approvers with appropriate permissions can also submit time on another user’s behalf. 

  • Approvers can also approve not submitted time directly

  • Once a timesheet is approved, entries become locked and cannot be modified unless the approver or admin explicitly has the permission to edit locked entries.


Role-Based Access Control (RBAC)


Users with the “approve time” permission can access the ‘tracked time’ tab. The entries they see and actions they can perform are determined by RBAC. 

For enterprise accounts,

The entries the users can see depends on this scope. 

Example below, in this case, the approver can see time tab for projects they own and inside that, they can only see those entries of people in their group.


For non-enterprise accounts, permission is as:

  • Admins can see the time tab for all projects and all people

  • Project owners can see the time tab for projects they own, and for all participants of the project

  • Collaborators can’t see this at all since they don’t have approved permission


FAQ:

  1. Q: Why can't I see the Time tab? A: Ensure the Time tab is enabled. If it's already enabled, you might not have the necessary "approve time entry" permission.

  2. Q: Why are my time entries not visible? A: Check your permissions. You are only authorized to view time entries you have permission to approve.

  3. Q: Why is a specific column missing? A: Verify your column visibility settings. Financial information such as bill rate and cost rate is only visible to privileged users.

  4. Q: How can I change the date or team member on a time entry? A: Editing the date or team member directly is not permitted. Please create a new time entry with the correct details.

  5. Q: Why can't I edit the role on a time entry? A: This user might have existing allocations across all possible roles, which prevents editing.

  6. Q: How do I modify invoice-related information? A: Invoice fields cannot be edited from this section. You need to make changes directly within the invoice.

  7. Q: How can I adjust the bill rate or cost rate? A: Bill and cost rates cannot be edited here. Navigate to the project budget rates section in the settings to make these adjustments.

  8. Q: How do I log time against a specific project? A: To report time on a project, select the time entry, choose "edit work," and you will find the "report to project" option.
