Not every conversation should be captured in Rocketlane. Internal finance calls, legal discussions, interviews, and interactions with customers who have asked not to be recorded may appear in the same calendars and mailboxes used for customer work.
Exclusions tell Rocketlane which meetings and email threads to skip. You can create rules based on participants, email domains, text within email addresses, meeting titles, and email subjects.

Before You Start
To manage exclusions:
- Exclusions must be enabled for your account.
- You need the Can manage exclusion list permission under Interaction intelligence.
If you cannot find Exclusions under Settings > AI capabilities, check your permissions or contact your Rocketlane account team.
How Exclusions Work
Rocketlane checks new meetings and email threads against the rules configured on the Exclusions page.
| Interaction | What happens when it matches an exclusion |
|---|---|
| Meeting | Rocketlane’s recorder does not join, and the meeting is not processed. |
| Email thread | Rocketlane skips the thread. |
For more information about how Rocketlane captures meetings and emails, see Enabling Meeting Intelligence in Rocketlane (For Admins) and Email Intelligence: How Email Ingestion Works.
Types of Exclusions
The Exclusions page contains two tabs.
| Tab | Excludes interactions based on | Examples |
|---|---|---|
| People and domains | The email addresses or domains of the participants | finance@acme.com, acme.com, finance |
| Keywords | The meeting title or email subject | Internal training, bank, legal notice |
How Rocketlane Interprets People and Domain Exclusions
You do not need to select an exclusion type. Rocketlane determines it from the value you enter.
| Value entered | Exclusion type | What it matches |
|---|---|---|
A value containing @, such as finance@acme.com | Email address | That exact email address |
A value containing a dot but no @, such as acme.com | Domain | Email addresses using that domain or one of its subdomains, such as us.acme.com |
A value without a dot or @, such as finance | Text in email address | Any email address containing that text, such as finance@acme.com or finance-ops@beta.com |
ops matches every email address containing those letters, including addresses you may not intend to exclude.Exclude People and Domains
Use the People and domains tab when meetings or email threads involving a particular person, organization, or email-address pattern should not be captured.
- Go to Settings > AI capabilities > Exclusions.
- Open the People and domains tab.
- Select + Add exclusion.
- Enter an email address, domain, or text that appears in an email address.
- Under Apply to, select Meetings, Email, or both.
- Select Add exclusion.
Both interaction types are selected by default. At least one must remain selected.
Rocketlane displays a confirmation and adds the rule to the list.
| Column | What it shows |
|---|---|
| Excluded | The value and its detected type, such as Email address, Domain, or Text in email address |
| Applies to | Meetings and email, Meetings only, or Email only |
| Added on | When the exclusion was created |
| Added by | Who created the exclusion |
acme.com also covers us.acme.com and eu.acme.com.Exclude Meetings and Emails by Keyword
Use the Keywords tab when interactions should be excluded based on their meeting title or email subject.
- Go to Settings > AI capabilities > Exclusions.
- Open the Keywords tab.
- Select + Add keyword.
- Enter a word or phrase under Keyword or phrase, such as
bankorlegal notice. - Under Where we look, select Meeting title, Subject line, or both.
- Configure the matching options.
- Select Add keyword.
Both locations are selected by default. At least one must remain selected.
Keyword Matching Options
| Option | Default | How it works |
|---|---|---|
| Whole words only | On | Matches the keyword as a complete word. For example, bank matches bank review but not Fairbank or bankofamerica.com. |
| Match case | Off | When enabled, capitalization must match. For example, Bank matches Bank but not bank. |
The Keywords list shows each keyword, where Rocketlane looks for it, and how the keyword is matched.
Edit or Delete an Exclusion
You can update or remove rules from either exclusion tab.
- Go to Settings > AI capabilities > Exclusions.
- Open the tab containing the rule.
- Open the rule’s More actions menu.
- Select one of the following:
| Action | What it does |
|---|---|
| Edit | Opens the rule for changes. Update the rule and select Save changes. |
| Delete | Removes the rule immediately. |
Deleting a rule affects future meetings and emails only. Meetings or emails previously skipped by the rule are not restored.
Exclusions or Internal Domains?
Exclusions and Internal Domains are both available under Settings > AI capabilities, but they serve different purposes.
| Goal | Use |
|---|---|
| Prevent new meetings or email threads involving a particular person, domain, address pattern, or keyword from being captured | Exclusions |
| Identify the email domains that belong to your organization | Internal domains |
To stop capturing interactions with a customer, add the customer’s domain as an exclusion.
Do not add the customer’s domain as an internal domain. Rocketlane would treat the customer’s participants as members of your organization, which can affect how meetings and emails are associated with that customer.
For more information, see Managing Internal Domains for Meetings and Emails and How Rocketlane Matches Meetings to Customers.
FAQ
Can I exclude meetings but continue capturing emails?
Yes. When adding or editing a rule on the People and domains tab, select Meetings and clear Email.
You can also apply a rule only to emails or to both interaction types.
What happens to meetings and emails that were already captured?
They remain available in Rocketlane. Exclusions apply only to new meetings and emails.
Does excluding a domain include its subdomains?
Yes. Excluding acme.com also excludes email addresses using subdomains such as us.acme.com and eu.acme.com.
How do I exclude everyone with “finance” in their email address?
Enter finance on the People and domains tab.
Because the value does not contain @ or a dot, Rocketlane treats it as text in an email address. It matches addresses such as finance@acme.com and finance-ops@beta.com.
Why didn’t the keyword “bank” exclude a meeting called “Fairbank kickoff”?
Whole words only is enabled by default. This means bank does not match when it appears inside another word, such as Fairbank.
Turn off Whole words only if the keyword should match anywhere within the meeting title or email subject.
Should I add a customer’s domain as an internal domain or an exclusion?
Use an exclusion when you want to stop capturing new interactions involving that customer.
Internal domains should contain only domains used by your own organization.
Does an exclusion remove Rocketlane’s access to my mailbox or calendar?
No. Exclusions control which meetings Rocketlane records and which email threads it captures. They do not change the access granted when you connected your calendar or mailbox.
To stop recording or capturing entirely, see Disable Meeting Intelligence and Recording Sources.
Why can’t I add an exclusion?
A rule with the same value may already exist, even if the capitalization is different. Find and edit the existing rule instead.
Why can’t I find the Exclusions page?
The page appears only when Exclusions is enabled for your account and you have the Can manage exclusion list permission.
Check your role permissions or contact your Rocketlane account team if the feature needs to be enabled.
