Configure Role-Based Access for Meeting and Email Intelligence

Rocketlane provides role-based access control (RBAC) permissions for Meeting Intelligence and Email Intelligence. These permissions allow administrators to control who can manage intelligence settings, view captured meeting or email pages, edit or delete those pages, and manage meeting page templates.

Page permissions can also be limited using access scopes. For example, a role can be allowed to view all meetings, only meetings associated with accounts in accessible projects, meetings involving members of the user's groups, or only meetings the user participated in.

This article explains the available permissions, their dependencies, and how to configure their access scopes.

When to Use

Configure these permissions when you want to:

  • Restrict who can manage Meeting Intelligence or Email Intelligence settings.

  • Allow users to view captured meetings or emails without allowing edits or deletion.

  • Limit meeting and email visibility to specific accounts, groups, or the user's own activity.

  • Control who can create, edit, disable, or delete meeting page templates.

  • Give different roles different levels of access to intelligence data.

Before You Begin

Ensure that:

  • Meeting Intelligence or Email Intelligence is enabled for your account, as required.

  • You have permission to manage roles and permissions.

  • The role you want to configure already exists, or you have created a role for the required users.

  • Users have access to the relevant projects and accounts when you plan to use Account access.

  • User groups are configured when you plan to use Group access.

Note: RBAC permissions control what a user can access or manage. They do not enable Meeting Intelligence or Email Intelligence for the account.

Open the Role Permissions

To configure the permissions:

  1. Go to Settings > Permissions.

  2. Open Account level permissions.

  3. Select the role you want to configure.

  4. Expand Meeting intelligence or Email intelligence.

  5. Enable the required permissions and configure their scopes.

  6. Save the role.

Meeting Intelligence Permissions

Meeting Intelligence permissions control access to its settings, captured meeting pages, and meeting page templates.

Access to Meeting Intelligence Settings

Enable Can manage meeting intelligence settings to allow members of the role to configure Meeting Intelligence features and processing rules.

This permission is independent of meeting page access. Grant it only to roles responsible for configuring Meeting Intelligence for the account.

Access to Meeting Pages

The following permissions control what users can do with captured meeting pages:

Delete meeting pages within the selected scope.

Can edit meeting pages and Can delete meeting pages are sub-permissions of Can view meeting pages. Enable viewing before granting either action.

Each enabled meeting page permission can have its own scope. Click the scope shown beside or beneath the permission to change it.

Meeting Intelligence Scope Options

The following scopes are available for meeting page permissions:

Scope

Meetings included

Global access

All meetings across all accounts.

Account access

Meetings from accounts in projects the user can access.

Group access

Meetings with participants who belong to the user's groups.

Only me

Meetings the user participated in.

To select a scope:

  1. Click the current scope displayed for the meeting page permission.

  2. Select the required option under Meeting intelligence scope options.

  3. Click Save.

Example: A project manager can be given Account access for viewing meeting pages. The project manager can then view meetings from accounts in projects they can access, without receiving access to meetings across every account.

Access to Meeting Page Templates

Meeting page template permissions control access to templates and their configuration:

Create, edit, and disable meeting page templates.

Can delete meeting page templates

Permanently remove meeting page templates.

Can manage meeting page templates and Can delete meeting page templates are sub-permissions of Can view meeting page templates.

Enable only Can view meeting page templates when a user needs to review template configuration without changing it. Enable management or deletion only for roles responsible for maintaining the templates.

Note: The page-level scope selector applies to meeting pages. The template permissions shown here do not use the meeting page scope options.

Email Intelligence Permissions

Email Intelligence permissions control who can configure Email Intelligence and access captured email pages.

Access to Email Intelligence Settings

Enable Can manage email intelligence settings to allow members of the role to configure Email Intelligence features and processing rules.

This permission does not automatically grant access to view, edit, or delete email pages. Configure those permissions separately.

Access to Email Pages

The following permissions control access to email pages:

Email Intelligence Scope Options

Email page permissions use the corresponding Email Intelligence scopes:

Emails the user participated in.

Select the scope separately for viewing, editing, and deleting email pages based on the access required by the role.

Permission Dependencies

The permissions use the following parent and sub-permission structure:

If a parent permission is disabled, its sub-permissions are not available to the role.

Settings permissions are separate from page and template permissions. A role can therefore be configured to manage intelligence settings without receiving page access, or to use meeting and email pages without managing the account-level configuration.

Example Role Configurations

Account Administrator

An administrator responsible for configuring and maintaining intelligence features can be given:

  • Permission to manage Meeting Intelligence settings.

  • Global view, edit, and delete access to meeting pages.

  • Permission to view, manage, and delete meeting page templates.

  • Permission to manage Email Intelligence settings.

  • Global view, edit, and delete access to email pages.

Project Manager

A project manager who should work only with accessible customer accounts can be given:

  • Account access for viewing and editing meeting pages.

  • Account access for viewing and editing email pages.

  • No permission to delete pages.

  • No permission to manage intelligence settings or meeting page templates.

Team Member

A team member who should access only their own conversations can be given:

  • Only me for viewing meeting pages.

  • Only me for viewing email pages.

  • Edit or delete access only when required.

  • No access to intelligence settings or meeting page templates.

Things to Consider

  • Grant delete permissions only to roles that need to permanently remove meeting pages, email pages, or meeting page templates.

  • Use Account access when users should follow their existing project and account access.

  • Use Group access when conversation visibility should follow team groups.

  • Use Only me for the most restricted access to a user's own meetings or emails.

  • Review the scope selected for each page permission. View, edit, and delete permissions can be configured separately.

  • Confirm that users belong to the correct groups and have access to the expected projects before troubleshooting missing meeting or email pages.

Can a user edit meeting pages without view permission?

No. Can edit meeting pages is a sub-permission of Can view meeting pages.

Can a user delete email pages without view permission?

No. Can delete email pages is a sub-permission of Can view email pages.

Does permission to manage intelligence settings include page access?

No. Settings access and page access are configured separately.

Does Account access provide access to every customer account?

No. It includes meetings or emails from accounts in projects the user can access.

What does Group access include?

For Meeting Intelligence, it includes meetings with participants in the user's groups. For Email Intelligence, it includes emails involving participants in the user's groups.

Can meeting page template permissions use Account access or Group access?

The scope selector shown for meeting page permissions does not apply to meeting page template permissions. Template viewing, management, and deletion are controlled directly by the corresponding template permissions.
