Setting up Template automations

With Rocketlane, you can easily create automations within templates. These automations are then seamlessly integrated into projects that inherit the template. You can set these up for tasks, phases, or forms on a template, saving you the time and effort of setting them up individually for every project.

Creating template automations

To create automations:

  • Go to Templates and select Project templates.
  • Select the project template for which you want to add automations.
  • Click any task, phase, or form you want to add an automation to. This will be the starting point for your automation.
  • Click the Automations tab.
  • Click the Add automations button.
  • From the slider, select Blank slate and start creating the automation workflow.

Example automation

Let's consider an example automation to go over the setup process.

Example: Automatically set the status of the project as Completed when the final phase of the project is complete.

Choose the right trigger, condition, and action.

Creating an automation rule

Follow the steps below to create an automation rule.

Name the rule: Add a clear name for the automation rule so it is easy to identify later.

Trigger this rule on: Select the type of trigger that should fire the rule. It can be a project, phase, or task that this automation rule should be triggered on. Here, the trigger is When phase status is updated.

Choose a trigger: Based on the type of trigger you choose, the list of available triggers will appear on the right. Choose the required trigger from the list.

Action block 1: An action block consists of conditions and actions.

Add condition: Click to add conditions. In the pop-up, choose the matching condition as All or Any.

Here, the condition is, if status changes from Anything to Completed. Next, add one or more condition filters and click Save.

Add an action: To add an action, click the button and specify what the system should do based on the rule. This can include updating project status and fields, including any custom fields you may have created. Here, the action is Update the status of the project as Completed.

NoteAutomations triggered on phases can have both phase actions and project actions. This is a classic example where a condition set on a phase executes an action on a project.
NoteYou can add more than one action that needs to be performed by the rule.

Rearrange and delete actions

  • You can rearrange actions inside an action block using the sort icon.
  • Click the cross mark to delete any action.

Working with action blocks

Action block 2: You can have more than one action block set up for an automation rule and use one rule to perform a set of actions if the predefined conditions are met.

NoteAction blocks are executed linearly, meaning each action block is processed one after the other. If any action block encounters errors or exceptions, it might affect the subsequent blocks.

Under More actions:

  • Click the three dots near the action block.
  • Choose to duplicate and edit an action block.
  • Click Delete to delete an action block.
TipYou can save these automations under saved automations and reuse them on demand.
