Are you tired of dealing with rigid project plans that struggle to adapt to your evolving projects? Rocketlane has got you covered. Say goodbye to the frustration of managing eleventh-hour changes.

In this article

In Rocketlane, you can simply utilize a master project template and customize the project plan based on a specific criteria to suit projects with varying requirements. This can be done by setting conditions such as ‘If the ARR exceeds $10000, then introduce the kick-off phase.’ Here, only if a project meets this condition would you include the kick-off phase. These conditions can be set at the task level, phase level and subtask level.

Leverage project fields as conditions in dynamic templates, including custom project fields imported from Salesforce integration. It's crucial to fill these project fields during project creation for Rocketlane to smartly tailor the ideal project template and use it to create a project.

Tip:This dynamic approach influences the project's effort allocation. If a task is not created due to the conditions, the corresponding effort is subtracted from the project budget. For instance, if a task requires 5 hours of effort and is not created, the project's total estimated hours will be reduced accordingly.

How to set dynamic conditions for project templates?

1. Go to templates and select the "Dynamic" view from the other available views on the top

2. Here, you can set dynamic conditions for phases, tasks, and subtasks as per your requirement.

For example, Let’s say you want to do GDPR compliance for Europe based customer. You can add a condition saying if the region is Europe then add this particular task.

3. To establish a condition at any project stage, simply click the "Add Condition" option corresponding to that stage.

4. Click on add conditions to specify conditions for the phase/task/subtask creation to happen. This opens a pane for you to filter and set the conditions.

5. The drop down list consists of various project fields from which you can select the relevant field and alter the values accordingly.

6. You can set conditions on multiple project fields by utilizing the "Add Filter" option.

7. Once all conditions for the task creation are set, click "Done" to save them.

8. The set conditions will be reflected alongside the task on the Dynamic Templates page.

9. Lastly, ensure to click "Save" at the page's top right corner to preserve all changes made to your project template.

How to create a new project using dynamic project templates?

1. For instance, let us use a template with the dynamic conditions for a task called GDPR compliance and the condition says ‘Region is exactly Europe’.

2. During the new project creation process, the additional information section allows you to assign values to the project fields, which in this case is Region.

Now, when a project is created using the template with the dynamic condition, the GDPR compliance task will be created if the region is assigned as Europe and skipped if it is anything otherwise.

This is how rocketlane’s dynamic project templates allow you to manage a master template while automatically tailoring it to different types of customers based on their unique requirements and scope.
